Shop around for materials and resources

Whatever your event requires, you may find a bargain if you look for it.  However, remember that you oftentimes get what you pay for.  Places such as Sam’s Club, Costco, GFS, Meijer, Walmart, all have good deals—especially on bulk items.  Estimated costs of food, paper goods, utensils, and other materials are found at these stores and at their respective Web sites.  Please see budget section.  

Remember: this is an NA event.  We must do everything in the spirit of the 7th Tradition, which states that “Every NA group ought to be fully self-supporting, declining outside contributions.”  In the case of sponsoring and putting on an activity, we take no donations or contributions (in-kind or otherwise) from anyone outside of Narcotics Anonymous. 

Stick to the plan and don't procrastinate

Resources for your group’s event that require reserving in advance, such as a facility, D.J., or band, must be factored into your groups timeline in the planning stages of the event, which are outline in step one of this kit.  On the other hand, things such as perishable goods, should be obtained as close to the event date as possible, as to avoid spoilage.   

It’s best to use a checklist for the items your group will need and assign people in the planning stages to shop for those items.  The Activity Checklist  (worksheet #1  - Planning) contained within each Activity Kit provides a functional way to keep track of what you have and what you need. 

Make sure all receipts and left over funds are returned to the event treasurer

We must account for each penny spent.  Worksheet #4 in the Activity Kit is a ledger that your event treasurer will use to account for all money spent on the event.  Each entry is calculated and sorted into its respective total amount, which is displayed at the bottom of the ledger and on the final report that each group sponsoring an activity will hand into the ASC upon the completion of their event.
